Alite Global Limited (referred to in this Privacy Policy as either “Alite”, “We”, “Us” or “Our”) respects your privacy and is committed to protecting your personal data (PD). We want to be transparent with you about how we collect and use your personal data in making available the Alite webapp providing our products and services (collectively referred to as the “Service”).

We want to make sure you know what happens to your personal data, what your rights are and how the law protects you.

With that in mind, this Privacy Policy is designed to give you information on how we collect and process your personal data through the products and services, including any data you may provide through the products and services when you sign up as a user or customer.

The Privacy Policy is intended to meet our duties of Transparency. The protection of the personal data and the protection of the personal and financial information of our clients are our top priority. That is why we process your information exclusively on the basis of the applicable legislation, including the GDPR and the Data Protection Act 2018.

Your rights
When using our website and submitting personal data to us, you may have certain rights under the General Data Protection Regulation (GDPR) and other laws. Depending on the legal basis for processing your personal data, you may have some or all of the following rights:

The right to be informed
You have the right to be informed about the personal data we collect from you, and how we process it.

The right of access
You have the right to get confirmation that your personal data is being processed and have the ability to access your personal data. This is commonly known as a “data subject access request”. This enables you to receive a copy of your personal data we hold about you and to check we are lawfully processing it.

The right to rectification
You have the right to have your personal data corrected if it is inaccurate or incomplete.

The right to restrict processing
You have a right to ‘block’ or restrict the processing of your personal data. When your personal data is restricted, we are permitted to store your data, but not to process it further. You can ask us to suspend the processing of your personal data in the following scenarios:

• if you want us to establish the data’s accuracy;
• where our use of the data is unlawful but you do not want us to erase it;
• where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; and you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

The right to data portability
You have the right to request and get your personal data that you provided to us and use it for your own purposes. We will provide your data to you within 30 days of your request. To request your personal data, please contact us using the information at the top of this Privacy Policy.

The right to object
You have the right to object to us processing your personal data. This right exists where we are relying on a Legitimate Interest as the legal basis for our processing and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your Personal Data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.

You will have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects concerning you or similarly significantly affects you.

Definitions
‘Personal data’ (PD) means any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person is one who can be identified, directly or indirectly, by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person. PD is in many ways the same as Personally Identifiable Information (PII). However, PD is broader in scope and covers more data.

A “visitor” is someone who merely browses our website. A “member” is someone who has registered with us to use or buy our services and products. The term “user” is a collective identifier that refers to either a visitor or a member.

1. Information we collect
Generally, you control the amount and type of information that you provide to us when using our website.

Our legal basis for collecting and processing Personal Data
Our legal basis for collecting and processing your PD when you buy our products or services is based on the fact that it is necessary for the performance of a contract or to take steps to enter into a contract. As part of our service, we will send you regular newsletters and updates which are relevant to you and your professional development.

Our legal basis for collecting and processing your PD when you sign up for our newsletter and information about our products and services through our website opt-in forms (rather than after you purchase our products or services) is based on consent.

If you provide your email address to us in the course of negotiating a purchase of our products, and you do not opt-out of receiving marketing emails about our products and services, then we may send these to you on the basis that it is in our legitimate interests to do so, and such interests are not outweighed by your rights and freedoms.

Our legal basis for collecting and processing your PD in all other manners and for all other reasons is on the basis that it is in our legitimate interests to do so, and such interests are not outweighed by your rights and freedoms.

What happens if you don’t give us your PD
If you do not provide us with enough PD, we may not be able to provide you with all our products and services. However, you can access and use any other parts of our website without giving us your PD.

We collect your PD in the following ways:

• Automatic information
  We automatically receive information from your web browser or mobile device. This information includes the name of the website from which you entered our website, if any, as well as the name of the website you’ll visit when you leave our website. This information may also include the IP address of your computer/the proxy server you use to access the Internet, your Internet service provider’s name, your web browser type, the type of mobile device, your computer operating system, and data about your browsing activity when using our website. We use all this information to analyse trends among our users to help improve our website.
• When entering and using our website
  When you enter and use our website and agree to accept cookies, some of these cookies may contain your PD.
• At user and member registration
  When you register as a user or member, we collect your name, email address, home address, billing address, telephone number, occupation, date of birth, gender and other information listed.
• When buying products or services
  We use Event Calendar and Eventbrite for our event advertising and checkout, WordPress and HubSpot for our membership service and Stripe for payment processing, therefore personal information is stored on these servers that are in relation to our services. If you buy products or services from us through these third party websites, we collect your first and last name, email address, physical address, credit card or other payment information, phone number, and other information listed.
• Website chat software or contact forms
  Our website contains chat software or contact forms that enable visitors to communicate with us live online or offline by email. In some cases, visitors can communicate with us without becoming a member or buying our products and services. When you use our chat software or contact forms, we may collect some or all the following information: your email address, first name, last name, location, and any other information you willingly choose to provide to us. You should limit the information you provide to us that is only necessary to answer your questions.
• Transaction data
  Your details about payments to and from you and other details of products and services you have purchased from us.
• Marketing and communications data
  Your preferences concerning receiving marketing from us and your communication preferences.
• Behavioural data
  Inferred or assumed information relating to your behaviour and interests, based on your online activity. This is typically aggregated (in a manner that it will cease to constitute PD) and grouped into “segments”.

  Internet protocol (IP) address, device make and model, number of emails sent/received, domains searches for, internet traffic volume, apps installed on devices, data about log-ins (e.g., the time when a log-in occurs), browser type and version, time zone setting and city-level location (inferred from your IP address), browser plug-in types and versions, operating system and platform and other technology on the devices you or a member(s) of your family use to access this Service or use our products and services.
• Profile data
  Your username and password, purchases or orders made by you, your interests, preferences, feedback and survey responses.

We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data could be derived from your PD but is not considered personal data in law as this data will not directly or indirectly reveal your identity. For example, we may aggregate personal data to understand and improve our Service. However, if we combine or connect Aggregated Data with your PD so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy policy.

Google Analytics Privacy Policy
Our website uses Google Analytics to collect information about the use of our website. Google Analytics collects information from users such as age, gender, interests, demographics, how often they visit our website, what pages they visit, and what other websites they have used before coming to our website. We use the information we get from Google Analytics to analyze traffic, remarket our products and services to users, improve our marketing, advertising, and to improve our website. We have enabled Google Analytics advertising features such as remarketing with Google Analytics, Google Display Network Impression Reporting, and Google Analytics Demographics and Interest Reporting. Facebook remarketing
Third parties, including Facebook, may use cookies, web beacons, and other storage technologies to collect or receive information from our website and elsewhere on the internet, and use that information to provide measurement services and target ads. With Facebook remarketing you may see our ads on Facebook after you have visited our website. For this to happen, Facebook uses a Custom Audience Pixel that is activated when a visitor lands on a webpage and a unique “cookie” is placed in their browser. Facebook lookalike audience targeting allows us to show ads on Facebook to people who are similar to those who have already visited or made a purchase from our website. What is our “legal basis” for processing your Personal Data?
In respect of each of the purposes for which we use your personal data, the GDPR requires us to ensure that we have a “legal basis” for that use. Most commonly, we will rely on one of the following legal bases:

• Where we need to perform a contract we are about to enter into or have entered into with you (“Contractual Necessity”).
• Where it is necessary for our legitimate interests and your interests and fundamental rights do not override those interests (“Legitimate Interests”). More detail about the specific legitimate interests pursued in respect of each Purpose we use your PD for is set out in the table below.

We use the PD we receive from you to provide the Service on the basis of Contractual Necessity, including using the information to:

• Send you an email newsletter with updates, information, events and special offers;
• Provide our products and services you have requested or purchased from us;
• Personalise and customise our content;

• Contact you with updates to our website, products, and services;

Sharing information with affiliates and other third parties
We do not sell or rent your PD to third parties for marketing purposes.  However, for data aggregation purposes we may use your data from which you are not personally identifiable (either directly or indirectly), which might be sold to other parties at our discretion. Any such data aggregation would not constitute PD. We may provide your PD to third-party service providers we hire to provide services to us. These third-party service providers may include but are not limited to: payment processors, web analytics companies, advertising networks, call centres, data management services, help desk providers, accountants, law firms, auditors, shopping cart and email service providers, and shipping companies.

We carry out this processing on the following legal bases:

• Legitimate Interests. We have a legitimate interest in creating Aggregated Data to use and share for our own business purposes.

Compliance, fraud prevention and safety
We use your PD as we believe necessary or appropriate to:

• Compliance with Law – this will be the case where we have to carry out any of these processing activities in order to comply with a legal or regulatory obligation.
• Legitimate Interests – it is in our legitimate interests to be able to take appropriate steps to ensure that our products and services are legally compliant, free of fraud and safe for you, us and our businesses to use.

Disclosures to successors
If our business is sold or merges in whole or in part with another business that would become responsible for providing the website to you, we retain the right to transfer your PD to the new business. The new business would retain the right to use your PD according to the terms of this Privacy Policy as well as to any changes to this Privacy Policy as instituted by the new business.

We also retain the right to transfer your PD if our company files for bankruptcy and some or all of our assets are sold to another individual or business.

Community discussion boards
Our website may offer the ability for users to communicate with each other through online community discussion boards or other mechanisms. We do not filter or monitor what is posted on such discussion boards. If you choose to post on these discussion boards, you should use care when exposing any PD, as such information is not protected by our Privacy Policy nor are we liable if you choose to disclose your PD through such postings. Also, PD you post on our website for publication may be available worldwide by means of the Internet. We cannot prevent the use or misuse of such information by others.

• Legitimate Interests. We have a legitimate interest in ensuring the ongoing security and proper operation of our products and services, together with associated IT services and networks. This may include ensuring that we are protected from automated spamming, crawling, scraping, denial-of-service attacks and similar operations.

Marketing
We use this information to prepare and send you electronic marketing communications relating to products and services that we think you might be interested in. You can change your marketing preferences at any time.

We carry out this processing on the following legal bases:

• Consent – if you have subscribed to our mailing list, you have provided consent to us sending you marketing communications. You have the right to opt-out of such marketing at any time.
• Legitimate Interest – if you provided your email address in the course of signing up to our Service or purchasing any goods, we may send you marketing communications about similar products and/or services unless you have opted-out of receiving them. We do this on the basis that it is in our legitimate interests to do so. You have the right to opt-out of such marketing at any time.
• Legitimate Interest – we have a legitimate interest in collecting and using information about your engagement with our marketing emails (e.g. whether you open and/or forward those emails) to make sure that the products and offers that we inform you of are relevant to you.

Insights
We record a small percentage of users’ interactions when using our products and services to identify issues with the user journeys to ensure the quality of service.

• Legitimate Interests. It is in our legitimate interests that we are able to monitor certain user journeys to ensure that we can develop and improve the features and functionalities of our services and products we offer.

4. Retaining and destroying your PD
We retain information that we collect from you (including your PD) only for as long as we need it for legal, business, or tax purposes. Your information may be retained in electronic form, paper form, or a combination of both. When your information is no longer needed, we will destroy, delete, or erase it.

To determine the appropriate retention period for PD, we consider the amount, nature and sensitivity of the PD, the potential risk of harm from unauthorised use or disclosure of your PD, the purposes for which we process your PD and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.

5. Who we share your PD with
When you engage with other users of the Service, for example through noticeboards and any direct chat functionality, then these other users will be able to access and process your PD.

The list below describes who we share your PD with, what we share and why we share it.

• Security providers
  So that you can use the products and services functions properly, we may share certain PD with third party suppliers of security tools.
• Software providers
  WordPress is the email provider host used as part of our products and services. As such, certain PD such as your contact details and email communications will be shared with WordPress. WordPress also host our cloud services and so store all PD for our products and services.
• CRM providers
  We use HubSpot to provide customer relationship management and to provide our chat feature on the Service. They hold details on our users as they go through the process of becoming our client. They hold PD such as names, addresses and dates of birth.
• Our payment processors
  We engage third parties to process your payments for products and services purchased via the Service. We use Stripe for our finance functions when buying our products and services. We use them to raise invoices and collect payment via direct debit. These third parties hold a certain amount of your PD, including your name and address and certain subscription details such as how many devices you pay for to be protected. We outsource the hosting of our Service. This means that all categories of PD that we process will be held and stored on the servers of our hosted service provider within the EEA.
• Third parties to whom we may choose to sell, transfer or merge parts of our business or our assets.
  We may disclose PD to third parties to whom we may choose to sell, transfer, or merge all or any parts of our business or our assets. If we undergo a change like this to our business, then the new owners may use your PD in the same way as set out in this Privacy Policy.

We require all third parties to respect the security of your PD and to treat it in accordance with the law. We do not allow our third-party service providers to use your PD for their own purposes and only permit them to process your PD for specified purposes and in accordance with our instructions.

6. How we keep your data secure
The data we collect from you shall be stored within the UK and/or the EU. Alite has implemented a range of technical and organisational measures for protection of your PD against loss or other forms of unlawful processing. The PD are accessible only to those persons who need access in order to perform their work in connection with the fulfilment of our services. They will only process your PD on our instructions and they are subject to a duty of confidentiality.

Before you sign up to our Service, the data we collect from you shall be stored in HubSpot. After you sign up to our Service, the majority of the data we collect from you is stored in WordPress and Google suite of products. Certain data, such as the number of emails sent, any security breaches against you, domain searches and blocked emails are stored in a database that we control as part of our Service.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

7. Updating your PD
You can update your PD using services found on our website. If no such services exist, you can contact us using the contact information found at the top of this Privacy Policy and we will help you. However, we may keep your PD as needed to enforce our agreements and to comply with any legal obligations.

8. Revoking your consent for using your PD
You have the right to revoke your consent for us to use your PD at any time if the basis on which we rely is consent. Such an opt-out will not affect disclosures otherwise permitted by law including but not limited to: (i) disclosures to affiliates and business partners, (ii) disclosures to third-party service providers that provide certain services for our business, such as credit card processing, computer system services, shipping, data management services, (iii) disclosures to third parties as necessary to fulfil your requests, (iv) disclosures to governmental agencies or law enforcement departments, or as otherwise required to be made under applicable law, (v) previously completed disclosures to third parties, or (vi) disclosures to third parties in connection with subsequent contests or promotions you may choose to enter, or third-party offers you may choose to accept. 9. Protecting the privacy rights of third parties
If any postings you make on our website contain information about third parties, you must make sure you have permission to include that information in your posting. While we are not legally liable for the actions of our users, we will remove any postings about which we are notified, if such postings violate the privacy rights of others.

10. Do not track settings
Some web browsers have settings that enable you to request that our website not track your movement within our website. Our website does not obey such settings when transmitted to and detected by our website. You can turn off tracking features and other security settings in your browser by referring to your browser’s user manual.

Our website may contain links to other websites. These websites are not under our control and are not subject to our Privacy Policy. These websites will likely have their own privacy notices. We have no responsibility for these websites and we provide links to these websites solely for your convenience. You acknowledge that your use of and access to these websites are solely at your risk. It is your responsibility to check the privacy notices of these websites to see how they treat your PD.

12. Protecting children’s privacy
Even though our website is not designed for use by anyone under the age of 18, we realise that a child under the age of 18 may attempt to access our website. We do not knowingly collect PD from children under the age of 18. If you are a parent or guardian and believe that your child is using our website, please contact us.
